****All positions on the Committee are backed up by the Administration Manager and the Bookkeeper****
Executive Committee
PRESIDENT
Expectations of the role include but not limited to;

Leads the Executive team
-
Provides strategic leadership in an efficient, enthusiastic and confident way.

Point of contact and escalation for the Director and teachers.

Requires good organisational and interpersonal skills with the ability to delegate.

Responsible for staffing, enrolments, financial operation in accordance with policy
-
This role requires a high degree of sensitivity, diplomacy, confidentiality and attention to detail.

Attendance required at all Executive & Non-Executive Committee meetings (per month).
VICE PRESIDENT
Expectations of the role include but not limited to;
-
Deputises for the President as required.
-
Oversee the National Quality Framework (NQF) plan and implementation.
-
Point of contact and escalation for the Director and teachers.
-
This role requires a person who can drive projects, and oversee all aspects of the Committee
-
Attendance required at all Executive & Non-Executive Committee meetings (per month).
SECRETARY
Expectations of the role include but not limited to;
-
Primary information conduit of the Committee internally and externally.
-
Maintains Committee information and contact details and organises the AGM in October.

This role requires competent clerical skills, good follow up, organisational tendencies and excellent communication.

Attendance required at all Executive & Non-Executive Committee meetings (per month).
TREASURER
Expectations of the role include but not limited to;
-
Provides strategic leadership ensuring obligations under the Associations Incorporation Reform Act 2012 are met.

Responsible for the banking, authorisation of bills and accounts

Oversees budgeting, liaising with the accountant
-
Ensures all financial requirements are being met (e.g. fees received in time, salaries and superannuation are being paid, government funding is correctly applied for etc.)
-
Overall financial planning for the Kindergarten.
-
This role requires you to have accounting or bookkeeping skills and experience.

Attendance required at all Executive & Non-Executive Committee meetings (per month).
Non Executive Committee
ENROLMENT ASSISTING OFFICER
Expectations of the role include but not limited to;
-
Supports the teaching staff with all enrolment activities and paper work and liaises with the Administration Manager during the enrolment process.

Works with the Communications & Marketing officer to organise the Open Weekend with the council and the rest of the kindergarten committee.
-

POLICY OFFICER
Expectations of the role include but not limited to;
-
Ensure all policies are reviewed and relevant.
-
Responsible for wider circulation and review from wider HTK committee.

Share all policy updates at committee meetings.
-
Liaise with Early Learning Association Australia (ELAA) on policy requirements.
-
This role requires great attention to detail and ability to understand policy documentation and relevant governance.

GRANTS OFFICER
Expectations of the role include but not limited to;
-
Responsible for sourcing and applying for various grants available to the Kindergarten.

Establishes consultation with committee to identify projects of interest.

Prepares grant submissions, liaising with Bayside Council, Government departments and other relevant bodies.
-
Coordinates with Maintenance Officer to obtain quotes.
-
This role requires attention to detail, good follow up and communication skills.

MAINTENANCE & WORKING BEE CO-ORDINATION OFFICER
Expectations of the role include but not limited to;
-
Assists in the upkeep of the Kindergarten buildings, grounds and equipment.

Organising quotes, or liaising with Committee members/Administration Manager to arrange quotes, for maintenance and new projects.
-
Ensures any areas of maintenance required that are appropriate for a working bee are completed
-
Organise relevant Working Bees throughout the year and ensures levy refunds are tracked (with support from the Administration Manager).
-
Ensure all necessary equipment and supplies are organized and ready for the Working Bee.
-
Supports the Grant Officer by providing information required for grant applications.
-
This role requires a person with good coordination, follow up and communication skills. some Knowledge or contacts within the trades industries would be advantageous.

FUNDRAISING & DONATIONS OFFICER (This role could be shared by two people)
Expectations of the role include but not limited to;
-
Lead a team of between 4 and 5 people to organise and co-ordinate kinder fundraising events and collection of donations for the kindergarten.

Event include;
-
1 major fundraiser per annum
-
2 smaller events or fundraisers per annum
-
-
Liaison with the Treasurer to confirm fundraising goals and spend for events.
-
Communicate with local businesses and suppliers to source various donations to enhance the kindergarten – as identified by the kindergarten Director and teachers.
-
This role requires a people person who enjoys organising events, great ideas with good communication skills.
-
Attendance by one of the Fundraising & Events team is requested for Non-Executive Committee meetings.
-
The Fundraising & Events team may meet in separate team planning meetings (to be arranged by the team).
COMMUNICATIONS & MARKETING OFFICER (This role could be shared by two people)
Expectations of these roles include but not limited to:
-
Promotes the Kindergarten and events throughout the year.
-
Works with enrolments officer to organise the Open Day
-
Preparation of quarterly newsletter (if agreed format for 2020). This role may work with the committee to determine to the most effective methods of communication to the family/carer group for 2020.
-
Liaise with the kindergarten Director and Administration Manager regarding social media/website updates and messages.
-
This role requires a person with strong communication skills.
-

CLASS GROUP REPs (This role could be shared by two people for each group)
Expectations of these roles include but not limited to;
-
Central contact person for all parents/carers per class
-
Liaison for parents and teachers.
-
Circulate parent/carer contact lists. Set up class ‘What’s App’ and email groups for communications.
-
Organise social events with parents as and when agreed with the committee.
-
Organise the Year End Social event.
-
Support Fundraising & Events team to communicate events
-
This role requires a ‘people person’ who enjoys organising social catch-ups and has good communication skills.
-

FUNDRAISING/EVENTS & DONATIONS TEAM (4/5 roles) – not part of the committee
-
These roles could be filled for all events throughout the year or can be on an adhoc basis as required by the team leader by parents and extended carers.

These roles require people who enjoy organising events, the challenge of fundraising with good communication skills and new ideas.
